EVERETT <br /> MUM WASHINGTON <br /> City of Everett Human Needs Grant <br /> October 1, 2020 through December 31, 2020 <br /> Exhibit A <br /> Program Summary <br /> Organization & Program: Cocoon House : Safe Streets COVID-19 Hot Meals Coordinator <br /> In response to the global pandemic and emergency declaration issued by Mayor Cassie Franklin for the <br /> City of Everett in response to COVID-19, the demand for hot meals and provision of food for those <br /> most in need is of the upmost importance at this time. <br /> Cocoon House will provide and manage a Coordinator position for the City of Everett Hot Meal <br /> Coalition as described below. <br /> Meal Program Coordination in response to COVID-19 <br /> Weekly Coordination with Meal Providers: <br /> • Connect with hot meal site leaders-confirm needs and logistics specific to each site such as#of volunteers,meal <br /> distribution times,most needed duties of volunteers(line control,hand out the sack meal,traffic control of vehicles, <br /> making requests to people in line to please stand 6 feet apart,etc.). <br /> • Gather updates from all meal site leaders about donations and needed supplies,document information,prepare <br /> calendar and brief report. <br /> • Distribute updated calendar of meal-times to City,ECC-JIC,Live Well Local,and 211 information line when <br /> changes occur. <br /> Sanitation/Best Practices Technical Support: <br /> • Work with meal site providers to identify and ensure safe practices,social distancing,and sanitation. <br /> • Coordinate needs and arrange related to supplies and sanitation set up for hand washing and cleaning methods. <br /> Volunteer Recruitment and Coordination: <br /> • Assess and prioritize volunteer needs at the hot meal and pantry sites. <br /> • Communicate volunteer needs if necessary. <br /> • Develop introductory material to help prepare/educate volunteers about their tasks and safety practices. <br /> Food and fundraising coordination: <br /> • Act as conduit to identify needs,seek funding support and obtain donations on behalf of each meal site in <br /> coordinated,prioritized fashion. <br /> • Act as Liaison with City,ECC,Volunteers of America(VOA)-211 and Food Bank Coalition and other entities to <br /> ensure unified and non-duplicative requests by Hot Meal Coalition members and other meal sites participating <br /> together during COVID-19 response. <br /> Reporting and Data Collection: <br /> • Obtain meal site data reports on numbers served,document and prepare report to City or funders as requested. <br /> • Implement uniform data collection methods among hot meal sites. <br /> • Maintain data on warehouse stock,supplies and food distribution. <br /> • Alert City and others to significant changes or trends. <br /> Contract management: <br /> • Monitor and manage reporting,meet reporting deadlines for invoices and document expenditures. <br /> • Maintain periodic contact with City staff overseeing contract and related funding. <br /> 7 <br />
