The term is for three years with three annual <br />payments starting in 2021: <br />• Total 2021 Expenditure amount: $551,384.53 <br />o 505/IT Maintenance: $526,672.46 <br />o Various department funds: $ 24,712.07 <br />• Amount budgeted for 2021: $551,384.53 <br />• Total Three -Year Expenditure: $1,662,508.57 <br />• Annual expenditure for 2022, and 2023 is estimated to be $555,562.02 <br />• No budget amendment required <br />Project summary statement: <br />The City's current Enterprise Agreement with Microsoft will expire on December 31, 2020. The <br />new agreement term will begin on January 1' 2020 and expire on December 31, 2023. The <br />Enterprise Agreement provides a straightforward method for ensuring that all City users and <br />computer equipment comply with Microsoft licensing requirements. <br />The Microsoft Enterprise Agreement covers software licensing for most of the Microsoft <br />technology used by the City including Windows 10, Windows Server, Office 365, Visio, SharePoint <br />Online, Project Online, PowerBl, client computer management, mobile device management, SQL <br />Server, Exchange Online, and Advanced Threat Projection for Office 365 and Windows 10. <br />The City has an interlocal agreement with Sourcewell that allows for purchases from its <br />competitively awarded contracts in lieu of soliciting bids. <br />Recommendation (exact action requested of Council): <br />Award and authorize approximately $551,384.53 for year 2021 and $555,562.02 for years 2022 <br />and 2023 to be spent with SHI International Corp from Sourcewell contract#081419-SHI/COE <br />412020-066 for Microsoft software licensing. <br />
