1.) <br />------------------------------------------------------'--'--'--- <br />D"crections for Copy Prepping ; <br />Address File� for Microfilming � <br />--------------------- <br />---------------- � <br />Verifv the Address: If there is no (�) checkmark on the label, the address must be <br />checked in the Street Index. <br />2.) Create a Tarqet: Write the address in BIG print on blank white paper with a black marker. <br />Use no punctuation. For addresses with more than one occupant, create a separate target <br />for the occupanYs narre (to go directly behind the address target). The target(s) is/are the <br />first page(s) of the file. <br />3.) Remove Plans: All large plans are rPmoved feom the file ard placed with the other <br />address plans. Ask Lori or Fran if yo:: have questions about tlie size of a plan. 'Make <br />sure the address is on the plans, if not, write it neatly on them. <br />�% 4.) Arran e in Date Order: The papers go in date order with the oldest date on top and the <br />newest date on the bottom. Keep all applications and the corresponding permits <br />together. Any papers with no dates go on the bottom. All legal descriptions go directly <br />behind Yhe target. Insoection Reaorts get inter-filed in date order (they should not all be <br />placed at the end unless that is the proper date order). <br />5.) Ftemove all Hardware: All paper clips, stapies, etc, must be removed from each paper. <br />6.) Check Direction of Paoers 8 Folding: Make sure all papers are up & down, the way you <br />would read them. If the papEr must be folded, fold it �o that the crease is on the left side <br />and the information is up & down on the inside (so that it can be read like a book). <br />7.) Check for Torn Paoers: 'fape all torn papers. <br />8.) Check Permit 8 Aoolication #'s: Make sure the permit # matches the corresponding <br />a�plication #. (You may have a permit without an appiication, but ask Lori or Fran if you <br />find an application without a permit.) Hint: If the a�plication has no number, match it with <br />the permit by checking the amount paid, name, and address. Draw an "X" with a red <br />pen/pencil through the blank sides of double-sided applications or other forms. <br />9.)
