B. If the application is complete and no changes or further <br /> information are required, department staff will approve the application <br /> and note any pertinent comments in the Comments section. <br /> C. If further information or changes to the Event <br /> route/date/time or special conditions for permit issuance are required, <br /> department staff will so note in the comments section. Any significant <br /> changes to the event plan must be communicated to the City Clerk. The <br /> City Clerk will alert departments to review the new information in Praxis. <br /> Once all necessary information and adjustments have been made, <br /> department staff will approve the application in Praxis. <br /> 8.5 Special Events Permit Denial. If department staff cannot come to <br /> agreement regarding event arrangements with the organizer, the <br /> responsible staff member will work with Cultural Arts staff to determine if <br /> any other accommodations can be made. If it is determined that there is <br /> no other recourse, the responsible department staff will deny the event <br /> application in Praxis, note the reason in the comments section, and <br /> communicate the decision to the City Clerk in writing. The City Clerk will <br /> forward the denial information to the Event Organizer, and inform <br /> Administration and Council. <br /> 8.6 Special Events Permit Issuance. When all departments have <br /> approved the Special Events application, the City Clerk's Office will send <br /> notification to Administration and City Council, and provide the event <br /> organizer with a link to post the event on the Community Events calendar <br /> on the City's website. The City Clerk will email the event organizer the <br /> Special Events Permit, which will note any conditions and requirements <br /> assigned by department staff. <br /> 9.0 Complaints. <br /> Complaints received about a special event on streets and/or sidewalks (i.e., <br /> traffic impacts, unsafe or unorganized event, no event notification, public <br /> transit, etc.) will be handled per City Public Service Policy (policy title TBD). <br /> Page 27 of 27 <br />
