A.1.2 Historical Data Conversion <br /> Contractor will convert the current CITY alarm permit/registration data and account balance <br /> forward information. CryWolf will electronically import the following existing CITY alarm-related <br /> data into the CryWolf database. <br /> • Premise Reciistration Data. This data will consist of alarm site demographics and related <br /> alarm company information, including alarm system location and mailing addresses, <br /> responsible party and contact information, and other non-financial, site related data. <br /> • Alarm Incident Data. This data will include up to one year of historical alarm <br /> incidents in order to establish the correct false alarm count by alarm user at the <br /> system crossover(go live) date. <br /> • Alarm account financial balances. This data will include for each historical <br /> alarm account imported/converted the summary financial balance for that <br /> account at the date of system crossover/conversion. <br /> The conversion will include only fields currently maintained by the CryWolf database.All data <br /> provided by CITY for conversion will be from a single database source in MS Excel format with <br /> row/column layout provided by CryWolf(refer to Appendix 2). The development and initial testing <br /> of the data conversion routine will be primarily completed at CONTRACTOR offices. Two or <br /> three conversion iterations may be required before CITY is able to fully validate the converted <br /> data. CONTRACTOR shall obtain this data directly from CITY and relies on the CITY for the <br /> accuracy and completeness of any such historical data; Current false alarm processing will <br /> need to be temporarily postponed (estimated at 1 —2 weeks) between final data conversion and <br /> Go-Live. <br /> A.2 CITY Tasks to Support the Alarm Program <br /> 1. Appointing a CITY Alarm Administrator ("Administrator") and backup administrator who will <br /> be the primary points of contact between CONTRACTOR and CITY. The Administrator(s) is <br /> responsible for overseeing CONTRACTOR's operation of the False Alarm Management <br /> Services Program ("Program") and accessing Program information, as needed, via <br /> CONTRACTOR provided online access; <br /> 2. Approving or obtaining CITY approval of policies, procedures and materials used by <br /> CONTRACTOR in operating the Program, such as clarifications of Alarm Ordinance <br /> provisions, preferred responses to standard public telephone inquiries, and routine <br /> correspondence format and content; <br /> 3. Approving content and format of letters authorizing alarm businesses to provide their alarm <br /> user customer data electronically to the program; <br /> 4. Monitoring program progress and performance. This will include using our secure internet <br /> administrative website to access false alarm processing data and reports. It will also include <br /> status meetings with CONTRACTOR, generating management reports from CryWolf, and <br /> keeping other CITY managers informed; and, <br /> 5. Working with CONTRACTOR to resolve, on a timely basis, any program policy or procedural <br /> issue that can adversely affect the program, the program's efficient and effective operation, <br /> or CITY. <br /> 6.
