Appliances and mechanical equipment are inspected at least annually. An inventory of all <br /> equipment, with date of installation and warranty information, is kept on-site. If deficiencies to <br /> any equipment are noted either the on-site staff or a contractor will make repairs. If a <br /> replacement is needed, it will be coordinated between CHS and the on-site staff. Residents will <br /> be trained in the proper use of each appliance when initially occupying a unit, and will be <br /> encouraged to report malfunctions promptly. <br /> During the periodic unit inspections, all smoke detection devices are tested for operability. The <br /> maintenance person will replace any inoperable smoke detectors or batteries. <br /> The fire alarm system and fire extinguishers are inspected and tested annually by a contractor <br /> licensed to perform these tasks. Any deficiencies are corrected immediately. The maintenance <br /> person is responsible for checking exterior lights for operability on a regular basis. <br /> Upon receiving a notice to vacate from a resident,the resident is provided a list of recommended <br /> tasks to be completed prior to a move-out inspection. In order for management to determine if <br /> repairs are necessary management conducts a move-out inspection. Residents are encouraged to <br /> accompany management on the inspection and are afforded the opportunity to correct any <br /> deficiencies that will affect the refund of a full security deposit. <br /> Redecorating and repairs are performed prior to re-occupancy of the unit. The new resident will <br /> accompany management on a move-in inspection prior to occupying the unit. Should a <br /> deficiency be noted during the move-in inspection, corrections will be made within 48 hours. <br /> The maintenance person performs interior painting. The maintenance person performs minor <br /> exterior painting. Unit interiors are painted at specified intervals, unless conditions dictate it be <br /> done more frequently. Exterior painting is inspected annually and painted as warranted. <br /> Unit furnishings such as furniture, floor coverings,window coverings, and countertops are <br /> graded for life span at each annual inspection. Projections for replacements are made during the <br /> budgeting process and are to cover more than one year. <br /> Major repairs such as roof and gutter replacement, pavement repairs, are scheduled based on the <br /> projected life span and overall condition of each. Proposals from appropriate contractors are <br /> requested prior to the planned date of execution of the repair. <br /> Requests for maintenance may be made only in written form. A written work order is completed <br /> for each request. Contracted work is to be performed only with prior Program Director approval. <br /> The Program Director will advise the Division Director when the amount exceeds $1,000 unless <br /> it has been previously approved through the budgeting process. <br /> Major repairs that will require the use of replacement reserve funds will be scheduled only after <br /> receiving approval from CHS management and appropriate funding agency.
