7. Conduct weekly conference calls to review status of work in progress and project needs. <br /> The calls may include multiple project staff depending upon topic. Webex or Microsoft <br /> Teams will be used as necessary to share project information. <br /> 8. Lead and coordinate a project kickoff meeting with the City. <br /> Client Responsibilities <br /> 1. Attend project management meetings. <br /> 2. Timely processing and payment of invoices. <br /> 3. Review and process contract change requests and amendments, if needed. <br /> Assumptions <br /> 1. One(1) project management meeting will be held via Cisco WebEx(or another web- <br /> based meeting platform) per month. Up to(2) hours of project manager time will be <br /> required for each meeting including preparation, attendance,follow-up,and notes. <br /> 2. One(1) biweekly conference call will be held via Cisco WebEx(or another web-based <br /> meeting platform) per month. Up to(2) hours of project manager time will be required for <br /> each meeting including preparation, attendance,follow-up, and notes. <br /> 3. The PMP and QMP is intended for consultant project team but available to the City upon <br /> request. <br /> 4. Invoices will be HDR standard invoice format. <br /> 5. Expense backup will be provided with monthly invoices. <br /> 6. City to coordinate with their staff on attendance at meetings, or for any data <br /> requests/needs of the project team. <br /> Deliverables <br /> 1. Scope of services, schedule(Gantt chart in MS Project format), and budget(PDF <br /> format). <br /> 2. Project Management Plan (Project Guide) (PDF format). <br /> 3. Monthly reports and invoices(one copy with invoice, PDF format) <br /> 4. Project management meeting agenda and notes(PDF format). <br /> Su btask 102— PARR/Project Reviews <br /> Objective <br /> Provide periodic internal management reviews to establish project status, and provide additional <br /> resources required within the team, and review for quality. <br /> Consultant Services <br /> 1. HDR will conduct a Project Approach and Resource Review(PARR)at project <br /> commencement.
