Task 1-1 — Project Management <br /> Project Coordination <br /> The Consultant team project manager will coordinate with the City's project manager on a regular basis <br /> (weekly or bi-weekly)throughout the duration of the project. The coordination will address project <br /> scope/status, technical and policy direction, budget, schedule, and meetings. Coordination will be via <br /> telephone calls, video chat and email, as appropriate. <br /> The Consultant team project manager will also coordinate with subconsultants on a regular basis <br /> regarding project scope/status, project direction, budget, and schedule. <br /> Progress Reports and Invoicing <br /> Detailed progress reports and invoices will be prepared on a monthly basis and provided to the City. The <br /> Consultant will clearly identify and document DBE participation in the project and meet the mandatory <br /> 14% participation goal. <br /> Meetings <br /> The Consultant will conduct meetings virtually or in person at a time agreed on by the Consultant and the <br /> City. Meetings will be preferably held via phone or video conference, with the goals of minimizing <br /> expense and meeting current public health guidance. The Consultant shall prepare a meeting agenda for <br /> each meeting. It is assumed that the Consultant will not be required to distribute meeting minutes <br /> following each meeting. This will not preclude communication with the City or Subconsultants to confirm <br /> understanding of issues raised in these meetings. The following meetings are included in the scope for <br /> this Phase, in addition to regular check-ins: <br /> 1. Project Kickoff <br /> 2. Stakeholder Kickoff <br /> 3. Conceptual Design and Alternatives Analysis Review <br /> 4. Stakeholder Check-In <br /> 5. Preferred Alternative Review <br /> Other design meetings may be necessary to discuss alternatives for specific project elements or provide <br /> updates on field conditions located by the Consultant and Subconsultants which may affect concepts, <br /> alternatives analysis and project designs. <br /> In-person meetings may be held at the request of the City, but may require adjustment to the scope of <br /> services, fee projection and schedule. These meetings do not preclude regular communication via email <br /> and phone between the City and the Consultant regarding project concerns and progress. <br /> The Consultant will conduct one field visit following the Project Kickoff meeting with the Consultant's <br /> design team to familiarize the team with the project site. <br /> Project Schedule <br /> The Consultant will provide a project schedule to the City and maintain the schedule with monthly <br /> updates on progress and affected milestones. The schedule will show milestone dates and events <br /> necessary to complete the plans and special provisions to complete the design of all the project <br /> improvements. <br /> transpogca'JcJ cir Page 3 <br />
