Exhibit A (Scope of Work) <br />Task 1 – Project Management and Administration; <br />Project Meetings <br />This task includes administration of the contract between the City and the Consultant <br />and project management of tasks necessary for the project. This task includes all <br />administrative services needed to coordinate with the City and the Subconsultants and <br />to complete the project on time and within budget. This task includes project <br />coordination meetings necessary for the project. <br />Project Administration <br />The Consultant will provide project management and administration (including invoicing <br />and monthly progress reports) and coordination with City staff throughout the project’s <br />duration. The Consultant’s Project Manager will provide oversight, direction, and <br />management of the project team for execution of work as identified in this scope of <br />services and will monitor the project budget and schedule. <br />This work is intended to help monitor budgets and propose corrective actions. This may <br />include formal scope and/or budget modifications. The Consultant’s Project Manager <br />will maintain communication with the City’s Project Manager and the Consultant Team <br />via informal meetings, telephone discussions, electronic mail, and other means, as <br />needed. <br />The Consultant’s Project Manager will provide direction to the project team and conduct <br />internal project coordination meetings with appropriate task Leads. The Consultant will <br />provide direction to Subconsultants and review of their work over the course of the project. <br />The Consultant will prepare and submit monthly invoices and a brief progress report to <br />reflect progress over the last billing period and anticipated activities over the next billing <br />period. The Progress Report will summarize work accomplished during the billing period, <br />work to be accomplished in the next billing period, meetings attended, problems/issues <br />encountered, and actions taken for their resolution. All backup information such as <br />expense records for the Consultant and Subconsultants will be submitted with each <br />invoice. Project Work Plan and Schedule <br />The Consultant will prepare a work plan for the project after the Notice to Proceed which <br />includes a communication plan, identification of deliverables, a quality control plan, <br />procedures for change management, risk identification and management, and health <br />and safety plan. The Consultant will develop, regularly update, and, upon request, <br />submit a project schedule including milestones dates for each work item. <br />Meetings <br />The Consultant will meet periodically with the City Project Manager and City staff to <br />coordinate the project and deliverables. Up to 112 meetings are assumed for the duration <br />of the project. As needed, Consultant will follow up after the meetings with Meetings Notes <br />and action items.
