Exhibit A (Scope of Work) <br />Assumptions: <br />• Project meetings will be held online. <br />• Project Kick-off meeting and design review meetings will be held at City offices. <br />Consultant travel is assumed for in-person meetings. Preparation of Agenda and <br />meeting materials is assumed for these meetings. <br />• Project coordination meetings will be no longer than 1 hour in duration, except for <br />the in-person meetings that will be no longer than 2 hours in duration. <br />• It is assumed that up to 3 Consultant staff will attend the meetings (the <br />Consultant Project Manager and task Leads, as needed). <br />• Utility coordination meetings are not included in this task (see Task 5). <br />• Design workshop with the City to confirm final preferred concept is not included <br />in this task (see Task 6). <br />• Real Estate Services coordination meetings are not included in this task (see <br />Task 20). <br />• Public Outreach coordination meetings are not included in this task (see Task <br />21). Project Kick-off <br />The Consultant will prepare and agenda, attend, facilitate and follow up on a project <br />Kick-off meeting to be held at City offices. Project Coordination Meetings <br />The Consultant’s Project Manager and/or Design Manager will meet with the City <br />Project Manager monthly, for up to 32 meetings for the duration of the project, to <br />coordination the project tasks, management, and administration. <br />Consultant team will meet bi-weekly for up to 64 meetings for the duration of the project. <br />These meetings will be in addition to the coordination meetings held with City staff, for <br />the Consultant and Subconsultant only. Consultant’s Project Manager will utilize up to <br />32 of these meetings to progress the overall project and manage tasks, schedule, and <br />budget. The Consultant’s Design Manager will utilize up to 32 these meetings to <br />coordinate and progress the design, discuss and resolve design issues and prepare for <br />design submittals. <br />Consultant will prepare for and attend up to 10 additional coordination meetings with <br />City resource groups, staff, and subject matter experts, as needed and determined by <br />Consultant Project Manager and/or Design Manager and City Project Manager. These <br />meetings will be utilized to answer questions and resolve design issues for any design <br />discipline working on the project during the design phase. These meetings will also be <br />utilized during the construction coordination phase of the project.
