City of Everett AM Program Phase 1 | Scope of Work <br /> <br /> <br /> 18 <br />AM Program Ph1 <br />Meetings <br />• One (1) 1-hour virtual meeting to review current work vertical assets order prioritization schema <br />and how it is implemented. The meeting will be attended by three (3) BC Team members. <br />• One (1) 1-hour virtual meeting to review work current linear assets order prioritization schema <br />and how it is implemented. The meeting will be attended by three (3) BC Team members. <br />• One (1) 2-hour virtual meeting to review recommended vertical and linear work order <br />prioritization schema. The meeting will be attended by three (3) BC Team members. <br />Work Products <br />• Draft and Final Work Order Prioritization TM <br /> <br />Task 604 – O&M Workflows <br />Objective: Formalize workflows for preventive and corrective maintenance activities, including <br />processes for tracking operations and maintenance costs, labor, equipment, and tools. <br />Activities/Approach: This task includes the following activities: <br />• Review existing documentation related to corrective maintenance (CM), preventive maintenance <br />(PM), and maintenance cost tracking for vertical and linear assets. <br />• Conduct a virtual workshop to discuss current processes for CM, PM, maintenance and <br />operational cost tracking processes and understand current roles and responsibilities <br />• Develop draft workflows for the following processes: <br />o CM <br />o PM <br />o Operational cost tracking <br />o Maintenance cost tracking <br />• Conduct a virtual workshop to review the draft workflows and discuss potential refinements to <br />streamline existing processes: <br />o For CM and PM workflows this may include following work order steps: creation, planning, <br />scheduling, assignment, execution, completion, review, and closure for vertical and linear <br />assets. <br />o For operational and maintenance cost tracking this may include tracking staff labor, <br />equipment, and tools associated with all work orders for all groups <br />• Update the workflows to include enhancements discussed during the workshop. <br />• Conduct a virtual workshop to review the workflows with added enhancements and revise the <br />workflows based on staff feedback <br />Task Assumptions <br />• City has draft processes available to support workflow development. <br />• Existing documentation and institutional knowledge will be used as a foundation for workflow <br />development and formalization <br />• Workflow enhancements will be limited to those identified and incorporated during the <br />scheduled workshops within the allotted time. Any additional enhancements identified outside of <br />this effort or beyond the workshop scope will require a contract amendment.
