5 <br /> SCOPE OF SERVICES DEFINED <br /> Phase II — Surveying, Basemapping, Design Report & Environmental <br /> Documentation <br /> 1. PROJECT PLANNING & MANAGEMENT <br /> 1.1. Project Planning <br /> 1.1.a. Prepare detailed work plan, and change management procedure. <br /> 1.1.b. Prepare, monitor, and regularly update project schedule. Schedule will be <br /> developed using MS Project 2000. <br /> 1.2. Project Management & Delivery <br /> 1.2.a. Prepare monthly billings, progress reports, including an updated monthly project <br /> schedule. <br /> 1.2.b. Attend bi-weekly coordination/discussion meetings with key City staff, and attend <br /> other meetings as needed. Prepare and distribute meeting minutes. <br /> 1.2.c. Maintain on-going contact with the City's Project Manager via informal meetings, <br /> telephone discussions, and electronic mail. <br /> 1.2.d. Maintain a web-based (or equivalent)project management/coordination system <br /> that will allow all team members access to up-to-date project files. Schedule and <br /> coordinate with consultant and subconsultants personnel and equipment. <br /> 1.2.e. Perform quality control and assurance procedures on project deliverables provide <br /> written documentation to City. <br /> 1.2.f. Close project and coordinate archiving of project material. <br /> 2. SURVEYING AND BASE MAPPING <br /> 2.1. Perteet Engineering will provide field surveys and mapping necessary for the completion <br /> of your design engineering. The project area is understood to be approximately 9,000 feet <br /> in length and extend to the existing right-of-way or fence line on each side of the road <br /> centerline. <br /> 2.2.
