Diesel Retrofit Grant Agreement No. G0700022 <br /> between the Washington State Department of Ecology and City of Everett <br /> • Retrofits must be installed by DEPARTMENT- selected Contractors. <br /> • The retrofit contractor shall: <br /> 1. Schedule a visit to RECIPIENTs fleet site to inspect each type of vehicle that is to be <br /> considered for retrofit. <br /> 2. Determine the exact Diesel Oxidation Catalysts (DOC) kit, Crankcase Emissions <br /> Control (CEC) and Diesel Particulate Filter (DPF) to be ordered for each vehicle. <br /> 3. Request DEPARTMENT and RECIPIENT written approval of a work order that <br /> identifies which RECIPIENT vehicles are suitable for DOC, CEC and DPF retrofit. <br /> The work order shall identify the appropriate parts, DOC, CEC and DPF kits, mounting <br /> hardware, etc. including the price for selected parts and installation, plus any <br /> additional charges that apply such as ferry or toll road charges associated with site <br /> visits. In order to insure consistency with the statewide contract, the DEPARTMENT <br /> must approve all parts, service and additional charges in the work order and any <br /> subsequent changes to it. <br /> 4. Once approval is received from the DEPARTMENT and the RECIPIENT, order the <br /> selected retrofit parts, and schedule an appointment with the RECIPIENT to install <br /> retrofit technology on the designated vehicles. <br /> 5. Install DOC, CEC and DPF kits on designated vehicles at either the nearest <br /> designated fleet site, "a coordinated location", or at the nearest contractor's shop. <br /> The contractor is responsible for all cleanup associated with installations. Through <br /> their normal recycling process and in accordance with all Washington State and <br /> federal laws, and with individual local government policies, the contractor shall <br /> dispose of all parts removed from vehicles. The contractor shall ensure that DOC, <br /> CEC and DPF kit installations will not void any existing warranty on retrofitted <br /> vehicles. <br /> 6. Once retrofit installations are complete, the contractor shall provide a list of DOC, <br /> CEC and DPF kit manufacturer's maintenance procedures and recommended <br /> maintenance intervals, a written labor and materials warranty for parts and services <br /> provided, and a detailed invoice to the RECIPIENT. <br /> 7. Provide the DEPARTMENT the following documentation: <br /> • A written progress report (electronic is suitable), due at the end of each month, <br /> documenting all work completed for that month, and providing a schedule of <br /> anticipated installations. The report shall list the vehicle number, vehicle district <br /> number, engine make and model number, and date of installation for each DOC, <br /> CEC and DPF filter. <br /> 1Q <br /> Page 5 of 6 <br />
