Y <br /> 405 NW 42°d Street <br /> — <br /> Seattle,WA 98107 <br /> '�)Iv1��11N 206/269-0229 <br /> January 12, 2017 <br /> To: Bob Bolerjack <br /> From: Margaret Norton-Arnold <br /> Re: Proposed Approach to Ongoing Facilitation of EnvisionEverett <br /> Bob, we agreed earlier that I would complete interviews with all EnvisionEverett committee members <br /> and set the stage for the six-month visioning process, and we agreed on a scope and budget for that <br /> first stage of work. Based on that initial work, I have established the following approach to the <br /> remaining work, which will take us through to June 2017. I have also identified some areas that the <br /> city will be responsible for throughout the remainder of the process. <br /> Scope of Work <br /> EnvisionEverett Facilitation <br /> I will facilitate up to 12 meetings of the EnvisionEverett committee. We have scheduled 11 of these <br /> meetings, but agree that we may need one more in order to complete the work. For purposes of <br /> budget positioning, I have written this scope to encompass the time period between January 1 and <br /> June 23, 2017. In my role as facilitator, I will: <br /> 1) Create, update, and maintain a master calendar for the EnvisionEverett process. <br /> 2) Create draft and final agendas for each meeting. <br /> 3) Prepare for each meeting in terms of materials, presentations, and questions to be <br /> addressed. <br /> 4) Facilitate up to 12 committee meetings, each lasting two hours. Ensure that all 22 committee <br /> members feel listened to, respected, and included in the meetings. <br /> 5) Create very brief reports (1-2 pages) for each meeting that summarize attendance and major <br /> accomplishments. <br /> 6) Write draft and final committee products from each meeting. In general, a rough draft product <br /> related to committee recommendations will be produced, which committee members will edit <br /> and comment on. I will incorporate these edits into a second draft product that will be <br /> reviewed at the next committee meeting. Comments raised during the meeting will then be <br /> incorporated into a final working draft of the product. <br /> 7) Create draft and final "Vision 2037" documents. These reports will include an overview of the <br /> committee process, as well as all of the committee's recommendations. <br /> 8) Maintain contact with you. As we have discussed previously, I will submit all committee <br /> materials to you first for approval, prior to distribution to committee members.I also anticipate <br /> regular phone conferences and meetings with you and other city staff members. <br /> 9) Maintain contact with committee members throughout the process. In addition to ongoing <br /> emails, I will work individually with members as needed to troubleshoot on issues as they <br /> arise. <br /> 10) Maintain the OneHub site for committee members, regularly posting committee work <br /> products, comments, and background information on the site. <br />
