Based on that initial work, I have established the following approach to the remaining work, which will take us through to June 2017. I have also identified some areas that the city will be responsible for throughout the remainder of the process. Scope of Work EnvisionEverett Facilitation I will facilitate up to 12 meetings of the EnvisionEverett committee. We have scheduled 11 of these meetings, but agree that we may need one more in order to complete the work. For purposes of budget positioning, I have written this scope to encompass the time period between January 1 and June 23, 2017. In my role as facilitator, I will: 1) Create, update, and maintain a master calendar for the EnvisionEverett process. 2) Create draft and final agendas for each meeting. 3) Prepare for each meeting in terms of materials, presentations, and questions to be addressed. 4) Facilitate up to 12 committee meetings, each lasting two hours. Ensure that all 22 committee members feel listened to, respected, and included in the meetings. 5) Create very brief reports (1-2 pages) for each meeting that summarize attendance and major accomplishments. 6) Write draft and final committee products from each meeting. In general, a rough draft product related to committee recommendations will be produced, which committee members will edit and comment on. I will incorporate these edits into a second draft product that will be reviewed at the next committee meeting. Comments raised during the meeting will then be incorporated into a final working draft of the product. 7) Create draft and final "Vision 2037" documents. These reports will include an overview of the committee process, as well as all of the committee's recommendations. 8) Maintain contact with you. As we have discussed previously, I will submit all committee materials to you first for approval, prior to distribution to committee members.I also anticipate regular phone conferences and meetings with you and other city staff members. 9) Maintain contact with committee members throughout the process. In addition to ongoing emails, I will work individually with members as needed to troubleshoot on issues as they arise. 10) Maintain the OneHub site for committee members, regularly posting committee work products, comments, and background information on the site.
