12 <br /> 1.0 Task 100 — Project Management <br /> 1.1 Subtask 101 — Project Management <br /> Purpose <br /> The purpose of this task is to monitor, control and adjust scope, schedule, and budget as well <br /> as provide monthly status reporting, accounting, and invoicing. <br /> Consultant Services <br /> 1. Prepare a project management plan (Project Guide) outlining organization, schedule, <br /> communications, and subconsultant activities to respond to the general and specific <br /> needs of the project. <br /> 2. Prepare subcontracts and manage project subconsultants. <br /> 3. Prepare monthly status reports describing with the following: services completed during <br /> the month, services planned for the next month, needs for additional information, <br /> scope/schedule/budget issues, a schedule update, and a financial summary. <br /> • <br /> 4. Prepare monthly invoices formatted in accordance with contract terms. <br /> 5. Attend project management meetings with client staff to manage the project scope, <br /> schedules and budgets. <br /> City Responsibilities <br /> 1. Attend management meetings. <br /> 2. Processing and payment of compliant invoices. <br /> 3. Review and process contract changes and amendments <br /> Assumptions <br /> 1. The project duration will be 20 months. <br /> 2. One project management meeting will be held per month for a total of 20 meetings. <br /> 3. Project team meetings approximately one per month will be held to review scope <br /> progress. <br /> 4. Four hours of management time will be required for each project meeting (preparation, <br /> attendance, and follow-up, notes, etc.). <br /> 5. Invoices and backup will be HDR standard invoice format. <br /> Deliverables <br /> 1. Scope of services and budget (three hardcopies and PDF files) <br /> 2. Subcontracts for subconsultant firms (one hardcopy) <br /> 3. Project Guide (one hardcopy and PDF file) <br /> 4. Monthly progress reports and invoices (one hardcopy with invoice) <br /> 5. Project schedule updates (with monthly progress report) <br /> 6.
