7 <br /> TASK 8 BNSF COORDINATION <br /> This Task will be performed by TranTech's subconsultant MCR to provide BNSF Coordination. <br /> As Railroad Liaison it is necessary to work with the BNSF Railway closely and often. <br /> Immediately after the project award an informal meeting will be scheduled between the design- <br /> team,the City and BNSF to describe the project and some of the constraints that the City will <br /> face in the design and reconstruction of the Broadway Avenue Bridge. The meeting would result <br /> in a better understanding of BNSF's concerns, the procedures the design team must follow <br /> during design preparation, railroad reviews and contract preparation. The meeting would also <br /> provide an insight as to the timetable required to complete the project. <br /> Expect 60 day per review of each set of plans (design, demolition, shoring, falsework and <br /> formwork plans) <br /> When Design plans reach 60%implementing BNSF Comments, a third meeting is scheduled and <br /> plans are submitted to BNSF for review. At 60%the BNSF will begin the preparation of the <br /> construction and maintenance agreement. <br /> When Design plans reach 90%,the plans will be provided to BNSF for final approval. The <br /> project is not fully approved by BNSF until the construction and maintenance agreement and a <br /> written letter is provided to the City from BNSF authorizing the project to begin. <br /> Throughout the design process,negotiations will continue with BNSF for mutual approvals of <br /> the clearances required, funding, and construction access. <br /> Communication is the key in reducing if not eliminating project delays. <br /> The Task will include the following subtasks: <br /> 1. Project Administration <br /> a. Reporting and Management <br /> b. Provide Project Management activities associated with the preparation of <br /> invoices, filing, contract initiation, documentation of meetings, and other internal <br /> administrative tasks. <br /> c. Agency Coordination <br /> d. Approximately three to six meetings scheduled with BNSF to review design <br /> plans, for negotiations and to discuss agreement requirements. <br /> • <br /> Deliverables: <br /> • Meeting minutes <br /> 2.
