7 <br /> EVERETT STATION PARK-AND-RIDE EXPANSION <br /> Agreement with Perteet Inc. January 2018 <br /> Task 1 —Project Management <br /> As first order of work,the Consultant will schedule a kickoff meeting and develop a brief project work plan which <br /> will include: <br /> • Project Goals and Vision <br /> • Communication Plan <br /> • Project Organization Plan with key contacts,project stakeholders,and team responsibilities <br /> • Quality Control(QC)Requirements <br /> • Project Budget <br /> • Project Schedule <br /> • Project Scope <br /> A draft of the project work plan will be handed out to the design team and Everett Transit at the kickoff meeting. <br /> As part of the project,the Consultant will prepare monthly progress reports that describe the work items and <br /> percentage of work items that were accomplished during a given month,as well as a forecast of work to be <br /> completed over the following month.The monthly progress reports will also identify any other issues or problems <br /> that may occur in any given month.The Consultant will submit these monthly progress reports to Everett Transit's <br /> • <br /> Project Manager with the monthly invoices.The Consultant Project Manager will notify Everett Transit's Project <br /> Manager,in writing(memo format)or via email,of any out of scope and/or budgetary issues that are inconsistent <br /> with this Scope of Services. <br /> Everett Transit and the Consultant will hold weekly project coordination teleconferences.Face-to-face meetings <br /> will be held at each submittal/or receipt of review comments as desired by Everett Transit.Four(4)meetings, plus <br /> up to two(2)additional coordination meetings may be held as needed throughout the project duration. <br /> Work Elements: <br /> • Project setup. <br /> • Facilitate project kickoff meeting. <br /> • Prepare draft and final Work Plan. <br /> • Prepare project schedule and up to two(2)updates. <br /> • Hold weekly teleconferences with Everett Transit. <br /> • Conduct up to four(4)submittal meetings. <br /> • Prepare up to six(6)meeting agendas and minutes. <br /> • Manage subconsultant activities. <br /> • Prepare monthly progress reports/invoices. <br /> • Assumptions: <br /> • • This contract duration shall be no longer than fourteen(14)months. <br /> • Project kickoff meeting will be held at Perteet's Everett Office. <br /> • Maximum of two(2)project schedule updates will be prepared. <br /> 3 <br /> File location:X:\Everett,City of\Promo Efforts\20170146-Everett Station P&R Expansion\Promo\Business Development\Scope\Everett Transit Parking <br /> Lot_Scope_2018-1-10.docx <br /> 8 5 <br />
