SCOPE OF WORK FOR BUSINESS IMPROVEMENT AREA SERVICES 10/29/2018 <br /> 3.3 — Petition Tracking (8 weeks) <br /> While Steering Committee members are gathering petitions, BDS will prepare a petition <br /> tracking spreadsheet for use by City staff and Everett Station District Alliance repre- <br /> sentatives in keeping it up to date.This tracking sheet will be integral to the weekly <br /> check-ins on progress. <br /> 3.4 — Deliverable #5: City Materials (Petitions; Spreadsheet) <br /> Once sufficient petitions have been gathered, BDS will work with Everett Station Dis- <br /> trict Alliance representatives and City staff to assemble the signed petitions,the track- <br /> ing spreadsheet, and BIA assessment data for delivery to the City for use in the City <br /> Council process and ultimately for BIA billings. <br /> 3.5 — Attend (present if needed) Public Hearing <br /> Brian Scott will attend the City Council's public hearing on the BIA, making a presenta- <br /> tion if desired, and being available to answer questions that Councilors may have. <br /> 3.6 — Council Presentation <br /> Brian Scott will make a final presentation to City Council at the meeting where they <br /> consider BIA adoption if desired. <br /> 3.7 — Contingency for Additional Steering Committee and/or Everett Station District <br /> Alliance Meetings <br /> Brian Scott will be available participate in additional Steering Committee, Everett Sta- <br /> tion District Alliance, or ratepayer meetings, including one-on-one and small group <br /> meetings with key ratepayers to help focus the conversation, facilitate discussion, an- <br /> swer process questions, and identify needed adjustments to the conceptual proposals. <br /> 4. Project Management & Planning <br /> 4.1 — Project Management. <br /> We believe in hands-on project management in close communication with the client. <br /> Regular phone calls, in-person meetings, and e-mail communication keep everyone up <br /> to speed, avoid misunderstandings, and ensure efficient product delivery. Daily time <br /> sheets and financial records, plus regular client communication, make on time, on <br /> budget, and high client satisfaction both possible and simple. <br /> 4.2 — Bi-weekly check-ins. <br /> Effective project management requires strong facilitation, communication, process <br /> management, and organizational skills. Accordingly,we recommend regular telephone <br /> meetings between BDS and the client to review progress, schedules, outstanding tasks, <br /> BDS <br />
