PROPOSAL TO THE CITY OF EVERETT CLIMATE ACTION PLAN CONSULTANT While this could be considered a potential concern,we believe our concurrent climate planning work is actually an advantage and part of our team's value: as noted in Section 2D above,we see significant opportunities to harness our relevant research, analysis, strategy development, and planning efforts across these projects and weave their findings and strategies into Everett's plan, resulting in a much more robust and comprehensive plan than could otherwise be provided for the available budget. We expect that our staff will, at a minimum, be available at the levels shown in the table below. In addition to the named staff in this proposal, our team offers a full complement of dozens of support staff with expertise in research,data analysis and modeling,writing, graphic design, and other functions.This support team will allow us to maintain an efficient, nimble core team of experts while offering the ability to scale quickly to meet project demands when necessary. Cascadia will not be using subcontractors on this contract. 3. COMMUNICATION, CUSTOMER SERVICES, AND TRAINING A. Describe how your company project manager will keep City of Everett timely informed of any issues related to delivering the services described in this RFP. We will convene an initial kick-off meeting to help us understand and review the City's existing climate and sustainability plans and policies, discuss the supporting research mentioned in the RFP, and make key decisions regarding project methodologies, scopes, and boundaries. We will discuss the project's ultimate goals and outcomes, and methodologies for meeting those outcomes through City, stakeholder, and public engagement. Once the project is underway, Cascadia will continue to coordinate with the client team, including participating in monthly check-in calls with the client. (We are happy to adjust the frequency of our check-ins to meet the client team's needs.) We will also provide monthly invoices and activity reports.Cascadia will use Deltek Vision project management software to provide real-time budget updates and regular detailed reports and invoices, and we will provide monthly progress reports that cover budget,timeline, and deliverables. Our project manager will proactively monitor the project's progress and immediately inform the client team, by phone and/or email, of any deviations from the planned schedule and budget or other unforeseen challenges.We T ASCADIA 11
