The scope and budget for this subtask includes time for Service Provider's project manager to meet bi- <br /> weekly by phone with City's project manager.These meetings are in addition to other meetings identified in <br /> other subtasks for this project. No formal documentation of the contents and results of these meetings shall <br /> be prepared. The project kick-off Skype meeting is also included in this subtask. <br /> Specific project management activities include: <br /> • Monthly Invoice and Status Memorandum Preparation: The Service Provider shall prepare and submit <br /> monthly invoice and status memos. This scope assumes a duration of eight (8) months. <br /> • Project Management Plan Preparation:An internal Project Management Plan shall be developed that <br /> will describe project background and purpose, include the project scope, schedule, budget, project- <br /> specific QA/QC Plan and project communication and administrative protocols. <br /> • Field Safety Plan Preparation:An internal Project Field Safety Plan will be developed for field <br /> investigations to be conducted in Subtask 7.2. <br /> • Bi-weekly Teleconference Calls: Bi-weekly teleconference calls between the Service Provider Project <br /> Manager, Lead Design Manager and the City Project Manager shall be scheduled to discuss on-going <br /> project status. Calls are anticipated to not exceed thirty(30) minutes. <br /> • Project Kick-Off Meeting:A project kick-off meeting will be conducted via teleconference, using Skype, <br /> and will be attended by key City and Service Provider project staff. Key City staff will include their <br /> Maintenance&Operations (M&O) group.The meeting will focus on an overall review of the project <br /> scope,schedule, milestones, and any outstanding data needs as well as confirming project goals and <br /> expectations.Additional tentative agenda topics are as follows: <br /> • Upcoming field investigation and survey, per Subtask 7.2. During the meeting, a review of the <br /> field investigation and survey to be conducted will be discussed, including any public and private <br /> access issues,data to be recorded and managed, public-relations,job safety, assistance from <br /> City personnel,etc. <br /> • City staff will share major considerations for each alternative, per Subtask 7.3 <br /> • City staff will share any additional considerations for the SR08 outfall pipe rehabilitation design, <br /> per Subtask 7.4. <br /> The Kick-off meeting is anticipated to not exceed 2 hours. The scope and budget for this activity <br /> assumes up to six(6) Service Provider team members shall attend this meeting via Skype. <br /> Deliverables: <br /> • Monthly invoice and budget summary spreadsheet <br /> • Monthly status memo accompanying the invoice <br /> • Minutes from Project Kick-Off Meeting <br /> Subtask 7.2 Field Investigation and Surveying <br /> Subtask 7.2 will consist of field investigation and surveying. Service Provider shall subcontract with a <br /> qualified surveying firm to complete the field survey and establish horizontal and vertical control points <br /> within the project area. <br /> The actual limits of the survey are shown in Figure 1, below. The field investigation is anticipated to require <br /> up to one 4-hour work day in the field for up to six (6)Service Provider staff. <br /> 31P 4, GE <br />
