Acceptance Procedures: <br />Certain project deliverables and milestones will be subject to a process of review and acceptance. The <br />process will involve the Project Managers from both the City and Timmons Group signing a User <br />Acceptance document to indicate that products and services were delivered in accordance with the <br />Project Plan. A fully executed User Acceptance document shall serve as authorization for Timmons <br />Group to continue on to subsequent project tasks. Failure on the City's part to complete milestone <br />acceptance within 10 business days or a mutually agreed upon timeframe may cause delays in initiation <br />of subsequent tasks. <br />The process for documentation deliverables is detailed in the following workflow: <br />1) Timmons Group will submit a Preliminary Draft of the project deliverable which will consist of a <br />basic document template or outline for the City's Review. <br />2) The City will review and provide acceptance of the Preliminary Draft format within 10 business <br />days. If the City is unable to meet 10 business day deadline a mutually agreed upon time frame <br />established by the Timmons Group Project Manager and the City's Project Manager shall be <br />respected. <br />3) Timmons Group will deliver the draft deliverable by the scheduled due date. <br />4) The City will review the deliverable and provide feedback. <br />5) Timmons Group will deliver the final version for the City's formal acceptance. <br />In some cases, where appropriate, the document deliverable will be updated throughout project and <br />redelivered prior to Go -Live. <br />L. Communication Management <br />The responsibilities of Timmons Group's communication plan are to ensure that the project objectives <br />are clearly articulated and met, that tasks are completed on schedule issues are identified and <br />promptly resolved, and that project status is continuously communicated to the City's core team. The <br />communication plan addresses the primary aspects of project communication, including: <br />▪ What is being communicated <br />■ To whom it is to be communicated <br />• How it is to be communicated (e.g. In -person, e-mail, call, etc.) <br />9IPage <br />
