facilitate the meeting, which will explore the qualitative goals, messaging, challenges and
opportunities anticipated during the project. The following will attend:Mackenzie,BCE, and
Roen.Meetingminutesforthis meeting will be prepared by Mackenzie.
3. Meetings:Throughout this phase, Mackenzie will coordinate and attend the below outlined
meetings with the Core Team, mayor and City Council through concept design for Schematic
Design. At each Core Team meeting,we will review the overall progress of the design and
other action items, including milestone reviews of the design progress as it is developed.
Mackenzie will prepare meeting minutes for these meetings. Design disciplines will be in
attendance as indicated within each meeting below.
4. Schedule:Update the preliminary project schedule from Schematic Design through project
completion. The schedule will be coordinated with the City.
5. Concept Design:Develop initial conceptual design options that begin to describe the scale
and relationship of project components and begin to articulate the approved program, goals,
and projectvision established during the Pre-Design phase.Initial conceptual design options
will be developed for initial Core Team review prior to City Council presentation.Final concept
design approval of a single preferred design option will be advanced through Schematic
Design with ongoing input from the cost estimator. The following will be developed during
Concept Design:
A. Adjacency Diagram Concepts:
I. Up to three (3) adjacency diagram options will be developed, utilizing the
approach of low impact, moderate impact and high impact to the existing
conditions.
II. Spatial needs assessment will lay out a cross functional floor plan thatserves
primary building components. These relationships will consider both internal
building adjacencies as well as inter-building relationships and connections
across the site.
B. Test Fits Concepts:
I, Up to two (2) conceptual floor plan options will he developed based on a
single approved adjacency diagram.
C. Mechanical,Electrical, Plumbing, Fire Protection
I. Refer to attached BCE Engineers proposalfor detailed scope of work.
D. Visioning Boards:
E. Up to four(4)conceptual visioning I interior precedent image boards will be prepared
for Client. These will be prepared to indicate initial design direction and overall
direction and aesthetics for the interior finish materials and inform the interior
material selections to be prepared in Phase 2.
6. Meeting—Core Team: Conduct a Core Team meeting at Client's office to review conceptual
design progress, and to review the preliminary adjacency plan designs. This meeting will also
serve as a building systems meeting,including BCE Engineering,where mechanical,plumbing
and electrical systems will be discussed, and preliminary systems selected for the project.
Based on Core Team feedback, Mackenzie will make refinements and prepare the draft
schematic design report for issuance to Client for review prior to pricing. Design team
attendance will include Mackenzie,BCE,and Roen.
