Roles:
■ City: review draft survey or focus group design.
■ BERK Team: develop draft and final survey or focus group design; summarize input.
Engagement Strategy 3: Meeting-in-a-Box Virtual Community Listening Sessions
Overview: BERK will provide materials and support for Relay Members to lead small virtual group
discussions with members of their network during the Vision Stage. Relay Members would act as "trusted
liaisons" to engage key audiences who may otherwise be less likely to engage with City or consulting
team members.
Approach: We will coordinate materials and provide a hands-on-training session for Relay Members.
We will encourage Relay Members or City staff to coordinate listening sessions with existing community
meetings or events (e.g., neighborhood, community and business organizations with regularly scheduled
meetings who can accommodate a presentation on their regular agendas, or religious institution
meetings), and to modify the design as needed to best serve their communities. For existing community
meetings, listening sessions may take the format of a short presentation followed by a discussion to
gather feedback. Additional options will include a brief slideshow with talking points and a feedback
tool to report summary input. The presentation and materials will be updated twice over the course of the
project to reflect progress. BERK will facilitate a call after each engagement to coordinate the
engagement summary.
Materials:
■ Draft meeting designs.
■ Talking points.
■ Draft slideshow and discussion questions.
■ Feedback collection tool (such as a simple online survey) that Relay Members can use to share what
they heard with the BERK Team.
Roles:
■ City: review draft materials.
■ BERK Team: develop draft and final materials described above; gather and summarize input.
i 'I DRAFT November 2020 Everett PROS Plan Update Preliminary Outreach and Engagement Plan 14
