SCOPE OF WORK(continued) <br /> • Project team communications plan (internal and external). <br /> • Monthly reporting procedures. <br /> • A change management procedure for adjusting the project scope, budget or schedule. <br /> Assumptions <br /> • One draft PMP will be developed for client review and comment. <br /> • The final PMP will be updated up to two additional times to address changes to communications, <br /> schedule,contacts,or procedures. <br /> Deliverables <br /> • Draft US 2/1-5 Interchange Planning Study PMP <br /> • Final US 2/I-5 Interchange Planning Study PMP <br /> Subtask 01-03 —Project Management Team Meetings <br /> Approach <br /> The Project Management Team(PMT) will consist of the Parametrix and Client project management staff.The <br /> Client may invite additional participants to attend the meeting based on the meeting agenda.The Consultant will <br /> have up to five (5) participants at the meetings to be able to address discipline specific questions and strategies. <br /> Consultant will schedule the meetings,develop an agenda,and facilitate the conversation for each of the <br /> meetings. Notes will be prepared and saved to the file.Action items will be shared with the Client and affected <br /> staff. <br /> Assumptions <br /> • PMT meetings are assumed to be 1 hour in length. <br /> • Up to 36 meetings will be held under this task. <br /> • Up to five Consultant staff will attend each meeting. <br /> Deliverables <br /> • Meeting agendas and notes will be compiled and delivered at the end of the project. <br /> Subtask 01-04--Consultant Team Meetings <br /> Approach <br /> The Consultant will convene a bi-weekly meeting with the task leads and up to two additional members of the <br /> team to coordinate activities,ensure progress, discuss strategies to resolve issues, and coordinate between <br /> disciplines to ensure the right materials are prepared. The Consultant will prepare meeting agendas and notes for <br /> each meeting. Any issues that need to be raised to the Client level will be noted and shared at the following PMT <br /> meeting.
