SCOPE OF WORK(continued) <br /> Subtask 02-03 - Executive Meetings <br /> Approach <br /> To ensure that executive level leadership in the region is informed and has an opportunity to ask questions about <br /> the project and how it will interface with other regional projects,there will be up to four(4)executive meetings. <br /> The Consultant will work with the Client to develop a draft list of executive level leadership who will participate in <br /> the meetings. Upon finalization of the list of participants,the Consultant will develop a draft invitation for each of <br /> the possible participants. The Client will reach out to the potential participants to get their agreement to <br /> participate or to define an alternate. <br /> Pre-briefings will be performed prior to each executive meeting. These pre-briefings are intended to provide <br /> early information about the meeting agenda and study findings to help attendees prepare for participation in the <br /> meetings. <br /> The Consultant will develop the meeting agendas,materials, facilitate the meetings and take notes to document <br /> discussions and areas of agreement. <br /> Assumptions <br /> • Up to three pre-briefings prior to each executive meeting will occur with up to two Consultant staff. Pre- <br /> briefings will be up to one hour in duration. It is assumed that pre-briefings will be in person and will be <br /> held in the City of Everett. <br /> • Up to four executive meetings will be held over the duration of the project. Executive meetings will be up <br /> to two hours in length. Up to five Consultants will participate in the executive meetings. <br /> Deliverables <br /> • Agendas, meeting materials, and meeting summaries after each meeting <br /> Subtask 02-04 -Open Houses <br /> Open houses will provide opportunities for the public to learn more about the project, its purpose, and provide <br /> input about the issues and possible solutions. An equitable outreach approach is central to the overall <br /> Communications and Community Engagement Plan (CCEP). <br /> Approach <br /> • Online open house(s)—up to three(3).To use materials previously developed by the Consultant team for <br /> deliverables or early review by Client, public comments recorded, draft responses prepared for Client <br /> review. Client to share responses after finalized. <br /> • In person open house(s)—up to three (3),staffed by up to five Consultants, location/venue to be reserved <br /> by City, up to five new display boards per open house, mailers, notification methods including outreach to <br /> key groups and organizations, up to two dry run meeting(s), set up/tear down, meeting summary. <br /> Intending to utilize existing graphics/exhibits already developed by technical/project team for these <br /> display boards,to minimize time/resources needed for graphic design development. <br /> 5541844828 <br /> City of Everett July 2021 <br /> US 2/1-5 Interchange Planning Study <br />
