• <br /> Fs, hh <br /> 5^3- .'t � S� �,»,�sY.., i —,1Mkt.11 <br /> Image / File Migration (WBS 5) <br /> The Image/File Migration enables the City to retain the electronic documents/files that have been <br /> assembled over time in one or more legacy systems and/or processes. This legacy data is <br /> processed and mapped to fit within the JWorks DMS data structures. <br /> Image/ File Migration Overview: <br /> CJS has identified that legacy Images/ Files currently exists in the following systems: <br /> • DAMION Discovery Module <br /> The migration process will require City review of legacy Images / Files and will provide the <br /> opportunity for the City to perform image/file analysis and clean-up. <br /> Migration Plan: <br /> This Statement of Work includes a high-level overview of the proven strategy that CJS utilizes for <br /> Image/File migration into the JWorks database. CJS will expand on this as well as update specific <br /> plans for the conversion effort. Part of the planning effort will be to make final decisions as to what <br /> legacy images/files will be converted through an automated image/file migration effort. CJS will <br /> facilitate an image/file migration planning session with staff. <br /> The migration methodology includes six(6) distinct steps: <br /> • Migration Preparation <br /> • Image/ File Checking <br /> • Sample Image/ File Load <br /> • Mock Implementation / Run <br /> • Final Conversion Implementation / Run <br /> • Stabilization <br /> The activities of each of these migration steps are described briefly below. <br /> CJS has included 1/2 service day for the migration plan assistance. <br /> Migration Preparation: <br /> CJS will provide preparation assistance to the City in relation to retention requirements, image <br /> reconciliation and image association to cases. <br /> CJS has included 1/2 service day for the migration preparation assistance. <br /> Image/File Checking: <br /> Once the images/files have been loaded, the data is loaded into migration work tables for checking <br /> exercises. <br /> CJS has included 1/2 service day for image/file checking. <br /> Test Image/File Load: <br /> CJS will perform one (1)Test Image/ File Load iteration for a limited volume of cases. <br /> CJS has included 1/2 service day to support test data load. <br /> Mock Implementation/ Run: <br /> One (1) mock migration will be performed emulating the final implementation.
