WPCF Headworks Replacement Project Scope of Work <br />17 <br /> <br />Task 230 Internal Meetings <br />Objective: This task includes planning, coordination, attendance, and management of recurring <br />internal team meetings to support cross-discipline collaboration, design integration, project <br />management alignment, and team engagement. The goal of this task is to maintain project <br />momentum, resolve interdisciplinary issues, and foster interdisciplinary collaboration. <br />Activities/Approach <br /> Establish a recurring meeting cadence (e.g., weekly, bi-weekly) with the core design team <br />and subconsultant task leads. <br /> Lead discussions to align on project goals, timelines, and deliverables. <br /> Document action items, decisions, and follow-ups. <br /> Facilitate communication between design, engineering, project management, and <br />subconsultant teams. <br /> Maintain meeting minutes and notes records. <br /> Share summaries with relevant stakeholders. <br />Task Assumptions <br /> Meeting participation will include representatives from all relevant disciplines and <br />subconsultants. <br /> This task includes weekly 30-minute coordination meetings occurring an average of three <br />times per month for 15 team members for 24 months. <br /> Workshop attendance will be conducted under Phase 400, Task 403 and Phase 450, Task <br />452. <br />City Responsibilities <br /> None <br />Meetings <br /> Weekly 30-minute internal coordination meetings <br />Work Products <br /> Meeting notes and action items <br />Deliverables <br /> None <br />Phase 300 Subconsultants <br />The following phase includes subconsultant services and management of subconsultant activities as <br />detailed in the tasks outlined below. Full <br />subconsultant scopes of work are available upon request. <br />Task 310 Peterson Structural Engineers (PSE) <br />Objective: Provide structural engineering services for the WPCF headworks design and related <br />design management, cost estimate review and design <br />activities encompassing alternatives analysis through development of the conformed drawings.
