City of Everett AM Program Phase 1 | Scope of Work <br /> <br /> <br /> 2 <br />AM Program Ph1 <br />Scope Task Descriptions <br />The task descriptions below include an objective statement, activities/approach, task assumptions, <br />meetings, and work products including which service or item will be provided by BC and Everett staff <br />to complete the task. <br />Scope assumptions applicable to the overall project are included below. <br />Project-level Assumptions: <br />• All deliverables will be delivered in electronic format. <br />• The City’s project manager (PM) will coordinate locations and City staff attendance and <br />participation for project meetings and workshops. <br />• City PM will provide timely, consolidated staff review comments on draft work products. <br />• The City provided background information will be used as provided. Consultant will not be <br />conducting a review of the information for quality or accuracy. <br />• All AM evaluations and analyses will only be for vertical and linear WFP, WPCF, transmission and <br />distribution, and collection system assets. Transportation assets will not be evaluated. <br /> <br />Phase 100 – Project Management <br />Phase 100 encompasses the overall management, coordination, and oversight of all project <br />activities. This includes managing the project scope, schedule, budget, and the preparation of <br />monthly progress reports and invoices. <br />A Kickoff Meeting will be conducted as part of this phase to: <br />• Review the project scope <br />• Confirm goals and deliverables <br />• Identify key stakeholders <br />• Establish communication protocols <br />Activities/Approach: This phase includes the following activities: <br />• Update the Project Management Plan (PMP): Incorporate the updated scope, budget, and <br />schedule; revise risk register; create template to track action items, issues, and decisions. <br />• Conduct the Phase 1 Kickoff Meeting: Include participation from key consultant staff and City <br />staff. <br />• Team Oversight: Supervise project staff and manage team budget and schedule. <br />• Monthly Reporting: Prepare monthly project status reports detailing budget status, progress <br />updates, and activities completed, accompanied by a monthly invoice. <br />• Bi-weekly Coordination Calls: Hold bi-weekly virtual meetings with the City’s core AM staff to <br />review project status, schedule, preliminary findings, workshop materials, and any emerging <br />issues. <br />City Responsibilities <br />• Participate in the project kickoff meeting. Attendees may include: Project PM, AM Program <br />Manager, and AM Governance Team Champions. <br />• Review monthly status reports and supporting documentation for invoice and payment approval.
