City of Everett AM Program Phase 1 | Scope of Work <br /> <br /> <br /> 12 <br />AM Program Ph1 <br />Meetings <br />• One (1) 2-hour virtual meeting to discuss current asset data collection, update, commissioning, <br />and decommissioning processes. The meeting will be attended by two (2) BC Team members. <br />• One (1) 2-hour virtual meeting to review draft asset data collection, update, commissioning, and <br />decommissioning processes and discuss process enhancements desired. The meeting will be <br />attended by two (2) BC Team members. <br />• Two (2) 2-hour virtual meeting to review and validate asset data collection, updates, <br />commissioning, and decommissioning processes, including desired enhancements. <br />Approximately 1 hour will be spent on each workflow. The meeting will be attended by two (2) BC <br />Team members. <br />Work Products <br />• Draft and Final Asset Data Collection Workflow <br />• Draft and Final Asset Data Update Workflow <br />• Draft and Final Asset Commissioning Workflow <br />• Draft and Final Asset Decommissioning Workflow <br /> <br />Phase 400 – Decision Making and Capital Planning <br />Phase 400 includes documenting CIP budgeting and R&R workflows. <br />Task 401 – DMCP Workflows <br />Objective: Formalize workflows for CIP budgeting and integrating AM Program identified R&R needs <br />into the CIP. <br />Activities/Approach: This task includes the following activities: <br />• Review existing documentation related to budgeting, R&R project identification, and CIP projects <br />planned for the next 10 years. <br />• Conduct a virtual workshop to discuss current processes for CIP budgeting and identifying R&R <br />projects and understand current roles and responsibilities. Review CIP Development workflow <br />developed as part of the Quick Wins task to confirm alignment with CIP budgeting and R&R <br />processes. <br />• Develop draft workflows for the following processes: <br />o CIP Budgeting <br />o R&R Project Identification <br />• Conduct a virtual workshop to review the draft workflows and discuss potential enhancements to <br />streamline existing processes. <br />• Update the workflows to include enhancements discussed during the workshop. <br />• Conduct a virtual workshop to review the workflows with added enhancements and revise the <br />workflows based on staff feedback. <br />• Revise CIP Development workflow, as needed. <br />Task Assumptions <br />• Existing documentation and institutional knowledge will be used as a foundation for workflow <br />formalization. <br />• There is no established process for CIP budgeting and R&R.
