City of Everett AM Program Phase 1 | Scope of Work <br /> <br /> <br /> 13 <br />AM Program Ph1 <br />• Workflow enhancements will be limited to those identified and incorporated during the <br />scheduled workshops within the allotted time. Any additional enhancements identified outside of <br />this effort or beyond the workshop scope will require a contract amendment <br />City Responsibilities <br />• Provide current documentation related to budgeting, CIP planning, and R&R planning. <br />• Ensure participation from the DMCP Governance Team and other appropriate City staff in the <br />workflow review meeting. <br />• Review and confirm the documented workflows. <br />Meetings <br />• One (1) 2-hour virtual meeting to discuss current CIP budgeting and R&R project identification <br />processes. The meeting will be attended by two (2) BC Team members. <br />• One (1) 2-hour virtual meeting to review draft CIP budgeting and R&R project identification and <br />discuss process enhancements desired. The meeting will be attended by two (2) BC Team <br />members. <br />• One (1) 2-hour virtual meeting to review and validate CIP budgeting and R&R project <br />identification, including desired enhancements. Approximately 1 hour will be spent on each <br />workflow. The meeting will be attended by two (2) BC Team members <br />Work Products <br />• Draft and Final CIP budgeting workflow <br />• Draft and Final R&R identification workflow <br />• Revised CIP Development workflow (as needed) <br /> <br />Phase 500 – Organizational Framework <br />Phase 500 includes activities to reassess and update the AM Adoption Plan based on Phase 1 <br />progress, and to support ongoing AM Program implementation through Asset Management Team <br />(AMT) meetings and performance monitoring. <br />Task 501 – AM Adoption Plan Reassessment <br />Objective: Review and update the AM Adoption Plan based on the implementation progress and <br />outcomes of AM Program Phase 1 activities. <br />Activities/Approach: This task includes the following activities: <br />• Review the AM Adoption Plan developed under AM Program – Quick Wins (Task 702). <br />• Update the Plan’s level-of-change strategies, training approaches, communication preferences, <br />and feedback mechanisms based on Phase 1 outcomes. <br />• Incorporate feedback into the revised AM Adoption Plan. <br />• Draft a revised AM Adoption Plan that includes an updated approach for Phase 2 activities. <br />• Finalize the revised AM Adoption Plan. <br />Task Assumptions <br />• Revisions to the AM Adoption Plan will be informed by at least 16 months of progress under <br />Phase 1. <br />• Feedback from AM Governance Teams will be available to guide updates.
