City of Everett Point Industrial Center (EPIC) Bridge Project – Phase 2 Full Design <br /> <br /> Page 27 of 43 <br /> <br />WORK ELEMENT 7 PUBLIC OUTREACH <br />AGENCY Project staff will lead the overall community outreach effort for this Project. <br />EnviroIssues shall continue providing support services for community outreach and involvement <br />activities as requested by the AGENCY. These activities will be aligned with the results of the <br />TS&L process. <br />7.1 Project Management and Coordination <br /> Prepare monthly progress reports and invoices <br /> Regular bi-weekly Project consultant team meetings <br /> <br />7.2 On-call Outreach Activities <br />The activities outlined below may be adapted to be responsive to the needs of the community or <br />changes to the Project. Activities may include a portion, or an alternate version, of the following <br />activities that can be accommodated with the Level of Effort shown in Exhibit E for <br />EnviroIssues: <br /> <br />Public Involvement Plan Development <br />Support development of a public involvement plan: This may include conducting demographic <br />and community research, identifying translation/interpretation needs and culturally responsive <br />strategies, and defining roles and responsibilities for outreach activities. <br /> <br />Public Meeting Coordination and Support <br /> Prepare for and staff one (1) in-person public meeting, including facilitation and <br />notetaking <br /> Draft and final meeting plan <br /> Draft and final materials, which may include: <br /> Content and graphics for up to one (1) presentation <br /> Content and graphics for one (1) postcard to notify the local community about the <br />public meeting <br /> Content and graphics for up to ten (10) display boards <br /> Content and graphics for one (1) poster <br /> Content and images for one (1) round of social media <br /> Key messages and talking points <br /> Develop draft and final meeting summary <br /> <br />Online Engagement <br /> Draft, develop, and summarize one (1) web-based Project survey to gather public input <br /> Draft and final content for Project website updates to reflect key Project milestones <br /> <br />Communications Tracking <br /> Maintain a communications tracker to log engagement activities and stakeholder <br />interactions (Excel spreadsheet)
