EXHIBIT A <br /> SCOPE OF WORK <br /> 1.2 Schedule and facilitate Progress Meetings.Prepare agendas, facilitate meetings and <br /> follow up on action items discussed during regularly scheduled construction <br /> coordination/progress meetings held between the City of Everett staff, the Contractor, and as <br /> needed sub-contractors, suppliers and/or design engineer. Provide meeting minutes and <br /> document additions, deletions or corrections to the minutes as requested by attendees of <br /> meetings. <br /> 1.3 Review and Monitor Contractor's Schedule. Review and monitor the contractor's <br /> project schedule and alert the City of Everett of slippage in the schedule that may affect <br /> the completion dates. <br /> Task 2 - Contract Document Administration <br /> 2.1 Correspondence Tracking System. Maintain a correspondence tracking system. The <br /> system will track the following documents: <br /> A. Correspondence(Mail, email and telephone) <br /> B. Submittals <br /> C. Requests for Information(RFPs) <br /> D. Contract Changes <br /> E. Contractor Change Requests/Claims <br /> 2.2 Maintain Files. Maintain orderly electronic records and paper files at the job site. <br /> These records and files may include,but not be limited to: <br /> A. Daily reports <br /> B. Preconstruction and construction progress photos and videotapes <br /> C. Maintain complete set of updated contract documents including drawings, addenda, <br /> proposal, general provisions, special provisions, shop drawings and change orders <br /> D. Test reports <br /> E. Survey notes including cut sheets (as provided by the Construction Contractor) <br /> F. Submittal and O&M records <br /> G. Preconstruction and coordination/progress meeting minutes. <br /> H. Contractor's Progress Schedule. <br /> I. Construction Contractor payment requests. <br /> J. Equipment manufacturer's testing, start-up and training. <br /> K. As-Recorded project documents. <br /> 2.3 Submittal Processing. Receive and log all shop drawing and O&M submittals. Maintain <br /> shop drawing submittal tracking system to assure timely responses and minimize potential <br /> delays. Provide initial review of submittals for completeness and general acceptability prior <br /> to transmitting for review. Return incomplete submittals to Contractor or request additional <br /> materials to be added to submittals prior to sending to Design Engineer or Owner for review. <br /> Return shop drawings to Contractor upon completion of review process. Maintain record of <br /> submittals requiring re-submittal and remind Contractor if required to make re-submittals. <br /> 2.4 Clarification of Contract Documents.
