City Responsibilities 6 <br /> 1. Provide all arrangements and notifications for public meetings. <br /> 2. Conduct any other outside stakeholder meetings that may be requested by others. <br /> 3. Coordinate all Council briefings with the Council calendar. <br /> 4. Invite City staff who should attend each meeting. <br /> 5. Provide background data and information, as requested by HDR for the meetings. <br /> Assumptions <br /> 1. The budget associated With this task can accommodate up to 8 meetings and briefings. <br /> This is in addition to the Task 200 kickoff and LOS meetings, and Tasks 600, 800 and 900 <br /> workshops. <br /> 2. The duration of Council briefings is estimated at one hour. The duration of meetings with <br /> City staff is two hours. The durations are exclusive of set up and project team debriefings, <br /> which are estimated at two hours per activity. <br /> Deliverables <br /> 1. Meeting agendas - emailed Word/PDF and hardcopy provided to participants. <br /> 2. Materials for meetings, briefings, workshops and focus groups —emailed Word/PDF and <br /> selected hardcopy handouts for participants. <br /> 3. Meeting notes, including decision points and action items—emailed Word/PDF. <br /> 4. Digital files of large-scale graphic displays. <br /> Task 400 — Data Reviews and Updates <br /> Objective <br /> To accept and review existing data and information available from and provided by the City for <br /> the CSP update. <br /> HDR Services <br /> 1. Prepare and submit a data request to the City. <br /> 2. Meet with City staff and then take a"windshield"tour of key City sewer facilities. The <br /> purpose of the half-day meeting/tour will be for the team to gain a familiarity with the system <br /> and provide the opportunity to discuss system issues in the context of the area <br /> surroundings. <br /> 3. Review and evaluate City provided data as appropriate for updating the CSP. <br /> 4. Prepare a request for any additional data that should be collected by the City. Data requests <br /> may include additional flow monitoring and/or condition assessment information. <br /> 5. Analyze the level of infiltration and inflow (I&I)from separated portions of the collection <br /> system. <br /> A. Since there will not be an additional I&I study as part of the CSP, the analysis will begin <br /> by discussing potential I&I vulnerable areas within the separated (sanitary) sewer <br /> system with City engineering and operations staff. <br /> City of Everett Comprehensive Sewer Plan Update 7 S Scope of Services April 2011 <br />
