t ? <br /> Scope of Work <br /> Continued <br /> • Monthly project financial summary accompanying each invoice that indicates the <br /> following information for each task: budget, amount previously billed, current <br /> billed amount, total billed to date, budget remaining, percentage of task <br /> completed, percentage of budget expended. <br /> • Cash flow projections, updated every other month, based on staffing plan and <br /> project schedule. <br /> 1.4—Workshops with City <br /> Otak will coordinate and attend review workshops with the City's project management <br /> team to review project progress and deliverables at key decision points, and provide <br /> project direction before progressing with the next step of the project. Otak, in <br /> coordination with the City's project manager, will prepare meeting agenda, handout <br /> material, presentation material, will help to facilitate the meeting, and will summarize the <br /> decisions and action items for each meeting. <br /> The three workshops will include: <br /> 1. Review of basin characterization from documents review (desktop) including the <br /> summary of basin issues from City engineering and maintenance staff, and <br /> identify issues to be field investigated by Otak. <br /> 2. Review severity rating of identified basin issues and select list for CIP project <br /> development <br /> 3. Review CIP project design concepts and ranking. <br /> Four (4) hours are budgeted for each of these meetings, Otak's attendance includes the <br /> project manager and up to three team members, as needed, including the project <br /> engineer who will summarize the meeting decisions and action items, and key task <br /> leaders. <br /> Task 1:Assumptions <br /> • 30-minute informal coordination conference calls each week up to a total of 18 <br /> coordination conference calls. <br /> • Brief verbal direction summaries will be included in the monthly status reports. <br /> • Up to five formal review meetings with presentations, estimated to be four hours. <br /> • Otak's project engineer attend kickoff and review meetings to take notes and <br /> summarize decisions. <br /> Task 1: Deliverables <br /> • Monthly project status report attached to billing statement (one hard copy). <br /> • Written agendas for all formal meetings approved by City project manager and <br /> distributed to meeting attendees before all meetings. <br /> City of Everett—Surface Water Comprehensive Plan Phase 2 3 <br /> February 13, 2012 128 otak <br />
